Personal Assistant

Job Description

 

  • Email Management: Organize, prioritize, and respond to emails on behalf of the CEO and Chairman. Flag and highlight important messages for their immediate attention.
  • Document Management: Review and ensure the proper structure and formatting of documents. Assist in the preparation and distribution of reports, presentations, and correspondence.
  • Reminders and Alerts: Set up reminders and alerts for document deadlines, meetings, and task completion to ensure timely follow-up.
  • Meeting Support: Compile meeting agendas and materials, schedule appointments, and manage calendar events for the CEO and Chairman. Take meeting notes and distribute summaries.
  • Liaison with Service Providers: Communicate with external service providers, including accountants and other professionals, to ensure seamless information exchange and no delays in responding to urgent or non-urgent matters.
  • Providing secretarial and administrative support to the CEO and Chairman, including complex diary management and an extremely busy email inbox.
  • Being the liaison and first point of contact with clients, company staff, and business contacts.
  • Actioning correspondence, including all routine email correspondence, forwarding queries to appropriate team members, and responding directly when required.
  • Creating client contact records, job set-ups, and client invoices in our management system
  • Processing accounts payable invoices.
  • Managing our office facilities, troubleshooting, ordering stationery and supplies
  • Project management of ad hoc projects, events, and meetings

Mandatory Skill Sets:

  • Proven experience as a Personal Assistant or similar role, with a strong background in administrative tasks.
  • Exceptional organizational and time-management skills.
  • Proficient in using office software (e.g., Microsoft Office Suite).
  • Excellent communication skills, both written and verbal.
  • Strong attention to detail and the ability to maintain confidentiality.
  • Flexibility to work outside of regular office hours, as needed.
  • Knowledge of PHP programming (an advantage, but not mandatory, given the user profile provided)

Salary: Rs. 26k - 29k  Depending on your skill level.
Office Location: Viman Nagar, Pune, Maharashtra
Office Timings: 11:30 AM - 08:30 PM (Mon - Fri)
